Introduction

The HR department has a list of approved agencies that have been mandated to assist UCT in sourcing temporary staffing relief.  

The staffing agency lists are updated from time to time to ensure they comply with the UCT procurement requirements.

Procedure for sourcing temporary staff:

  1. When there’s a temporary staffing requirement contact your HR Business Partner to discuss your requirements.
  2. The HR Business Partner will make available the current list of agencies. Please note that temporary staff placements may not exceed a 3-month period where the salary is below the legislated threshold. Your HR Business Partner will be able to guide you in this regard.
  3. Send the position description (taking into account the above) to the relevant agency, along with an indication of the duration, payclass level, budget constraints and any other information related to the assignment.
  4. Inform the agency of your selection process, i.e. your equity requirements, the number of CV's you’d like to review and whether you will be interviewing candidates for the assignment.
  5. Once you have selected a temp, the agency will send you a quote, along with the terms and conditions entered into with UCT.
  6. Rate confirmation (quote) will be signed by an agency manager and by the relevant UCT staff member confirming the quote. Prior to accepting the quote send it to your HR Business Partner who will be able to confirm alignment to the UCT agreement with the agencies.
  7. Provide the agency with your fund number and cost centre. Please do not place a purchase order as it may result in a duplicate and/or late payment.

Temps applying for posts at UCT

Please note that on commencement of an assignment, all temps will be advised by their agency that they are to apply for vacancies at UCT via the agency, and not directly. This will enable the department considering the application to make arrangements for budget to cover a conversion fee if necessary.
