Cost of Employment and costing information for permanent and T3 academic staff (2012)

The Standard Academic Salary Package (SASP) COEs (per annum) for permanent academic staff (excluding clinical and pre-clinical staff) effective 1 January 2012.

Costing Information for Permanent Academic Staff

For calculation purposes the following must be noted:

  1. Deemed pensionable amount (DPA) =
R0 to R150000 70%
R150001 to R250000 75%
R250001 to R400000 78%
R400001 + 80%

The percentage may vary between 50% and 100%. Staff may elect this percentage at the beginning of each year, but please note that staff will not be entitled to decrease the percentage amount in any year. If you do not wish to increase the DPA percentage, the percentages reflected above will apply.

  1. Benefit amount (BA) = 70% of COE.
  2. Unallocated amount (UA) = cash portion of COE left after allocations have been made for compulsory and optional benefits.

The figures below are based on full-time hours per day and will be pro rated accordingly for part-time staff, based on the number of hours worked per day.

Total cost to the fund holder will include costs over and above the COE received by the staff member. These are:

Skills development levy 1%

Note: use COE to calculate these amounts but this will be slightly more than what is required.

  1. To calculate the acting allowance, take the staff member's payclass from the payclass of the post occupied in an acting capacity. Multiply this number by 5% of the staff member's COE. Divide by 12 to get the monthly amount, or divide the monthly rate by 21.67 to get the daily rate.
  2. To calculate overtime rates take the COE (annual) and multiply by 70% which = BA. Take the BA and divide by 12 and then by 21.67. This will give you the daily rate. To get the hourly rate divide by 7.5.
  3. To calculate standby payments for staff on COE take the COE (annual) and multiply by 70% which = BA. Take the BA and divide by 12 and then divide by 21.67. This will give you the daily rate. To get the hourly rate divide by 7.5 and multiply by 20%.

Please note that the formulae in points 1 and 2 above are included to assist fundholders with their budgets. There is no need to calculate the amount when completing the HR forms; simply include the number of hours and the system will calculate the amounts due.

  • To calculate weekly, daily and hourly rates, take the COE (annual) and divide by 12 and then by 21.67. This will give you the daily rate. To get the hourly rate divide by the relevant daily hours as follows:
Academics = 8 8
Payclass 5 - 12 = 7.5 7.5
Payclass 1 - 4 = 7.9 7.9
Central fund 2%


To calculate the weekly rate, take the daily rate and multiply by five.

  • To calculate overtime rates for contract staff, take the annual COE and multiply by 70% (i.e. use the Benefit Amount), divide by 12 and then divide by 21.67. This will give you the daily rate. To get the hourly rate, divide by the relevant daily hours according to the table in item 3 above.

Optional annual service bonus

UCT offers an optional service bonus which forms part of your COE and which is paid annually in November. The service bonus is calculated as the Benefit Amount (BA) divided by 13 (BA = 70% of COE). The service bonus is payable to staff on a pro-rata basis upon termination of service i.e. resignation prior to 30 November in a year. Staff may elect to have the service bonus as an allocation from their COE paid in November each year or as cash on a monthly basis. A staff member may elect this option during the annual COE review or when their COE changes as a result of a contract change or when they receive a new COE schedule.
