Conditions of appointment of academic staff (other than joint medical staff)

The following conditions apply to permanent appointments of academic staff. They are in addition to any conditions prescribed for a particular appointment.

General conditions of service

  1. Staff are required to grant the University free licence to reproduce (for teaching and examination purposes within the University only), all such teaching and examination material as they may produce in the course of their duties. This provided that such licence would be regarded as having lapsed should the material in question be published in book form by the staff member.
  2. Staff who undertake additional teaching, will be rewarded as follows:
    1. When a member of the full-time staff undertakes work for a formal University programme (a degree, diploma or certificate programme) in his/her or another department, this must be done with the knowledge of his/her department. The understanding is that compensation, if any, is to be by way of transfer of funds from the staffing allocation of the receiving department to the giving department (or to an entity controlled by the Head of the giving department, to be used for departmental purposes in the giving department) or to an existing, approved, university-purpose-related entity under the control of the person doing the additional work. Personal payment is not permitted.
    2. Where requests are made for staffing funds to be transferred to individual research entities as research grants, such transfers are permissible provided that
      1. the research entity is approved by the University Research Committee for the staff member's own research.
      2. the funds are used for purposes approved by the University Research Committee.
      3. it is understood that all items (including books) acquired through a research entity are the property of the University.

  3. Procedures for applying to have funds transferred from a departmental staffing account to a research entity:
    1. The staff member must provide the Head of Department with the number and title of the research entity, details of the additional teaching commitment, and the teaching commitments of the staff member in his/her own department for the year.
    2. The Head must give approval for the payment to be made to a research entity (rather than to the departmental staffing budget), and must give reasons for this decision.
    3. The Head must then transmit the request to the Dean and to the Human Resources Department.

  4. A member of staff may receive additional payments for work performed on short courses provided that
    1. the Dean has approved the programme, the budget and the rate of pay for the short course.
    2. the staff member has informed his/her Head of Department that he/she is to work on the programme.

  5. All appointments are subject to the regulations of the Associated Institutions Pension Fund or the UCTRF and the staff member must become a member one of these funds.
  6. Staff are required to join such medical scheme as is approved by the University Council, provided that the application for membership is accepted by the scheme concerned .
  7. Staff are required to participate in the University of Cape Town Group Life Assurance Scheme on a non-contributory basis.
  8. In the case of citizens of other countries the appointment is offered subject to the staff member fulfilling any requirements of the Department of Home Affairs concerning immigration formalities.
  9. The academic year extends from 1 February to 31 December. The month of January is the period when academic staff normally take their annual.
